Unexpected delays or cancellations can be a hassle, but you can get repaid partially or in full if your train arrives at least 15 minutes late or is cancelled. This guide explains how to claim Southern Delay Repay and what to send along with your application.

How does Southern Delay Repay work?

Delay Repay is a nationwide scheme that makes train operators responsible for compensating passengers for delayed or cancelled journeys. The amount of compensation and minimum delay length varies across companies. For Southern services, you can submit an application for compensation if your train arrives at least 15 minutes late or is cancelled.

You can claim Southern Delay Repay up to 28 days from the date of your delayed journey, but it is recommended you submit your application as soon as possible after the date of travel. This will ensure the details, such as the length of the delay, are the most accurate. Passengers should also note that claims should be made individually per traveller (excluding passengers travelling with a child or under mitigating circumstances). Multiple claims will be declined. Southern’s full range of repayment options is as follows:

  • Bank transfer (BACS)
  • Credit or debit card (excluding Mastercard and AMEX)
  • PayPal
  • Amazon account credit (UK Amazon users only)
  • National Rail Travel Voucher (cashable)
  • Southern e-voucher
  • Charity donation

How to claim Southern Delay Repay?

You can send your Delay Repay request online or by post. However, it’s important to note that Southern can’t accept financial information sent via post, so the repayment options are limited. You can download, print and post your Delay Repay form and supporting documents to the freepost address below:

Online applications allow you to also create an account and store your personal details, Season Ticket information and repayment preferences, saving you time in the future. Open the Delay Repay platform and log in or click ‘Start a claim’. Complete the form, including the length of the delay, ticket type and how you’d like to be repaid.

You’ll also need to include proof of purchase in your Delay Repay claim. If you’re uploading several documents online, you’ll need to scan and attach them as a single file. Southern accepts various forms of tickets, and the proof of travel varies:

What is Auto Delay Repay?

Auto Delay Repay allows Key smartcard holders to receive automatic Delay Repay claims when they travel on a delayed Southern, Thameslink, Great Northern or Gatwick Express service. They must be signed up for Auto Delay Repay on their Southern account and touch in and out of stations so a delay can be detected. Passengers will receive an email within 48 hours of the delayed journey and have 28 days from the date of travel to approve the claim.

Note: Requests for Delay Repay should not be sent to Trip.com, but directly to the train operator that caused the delay.

How much will I be compensated by Southern Delay Repay?

The amount of compensation you’re entitled to depends on the price of your ticket and how long you were delayed. Here’s a summary of the levels of compensation offered below:

The compensation value for Season Ticket holders is determined according to the single journey value. Travellers will be repaid up to maximum of the return journey rate (Weekly Season Ticket or longer) or up to the cost of two single journeys (Flexi Season Ticket). These are the journey value calculations:

  • Weekly Season Tickets: 1/10th of the ticket cost
  • Flexi Season Tickets: 1/16th of the ticket cost
  • Monthly Season Tickets: 1/40th of the ticket cost
  • Quarterly Season Tickets: 1/120th of the ticket cost
  • Six-monthly Season Tickets: 1/240th of the ticket cost
  • Annual Season Tickets: 1/464th of the ticket cost

If a customer bought a Weekly Season Ticket for £150 and their Southern train was delayed by 25 minutes, they’ll receive £3.75 in compensation. The single journey value for their Season Ticket would be £15 (i.e., 150 divided by 10), and Southern pays 25% of the journey cost for delays between 15 and 29 minutes.

Why was my Southern Delay Repay claim declined?

Southern should respond to your claim request within five days or up to 20 working days if there has been a period of disruption. If your claim has been denied, the specific reason will be provided. There are a number of common causes as to why your claim was not approved or processed:

  • Southern did not find a delay of at least 15 minutes.
  • The delay or initial delay was not caused by Southern.
  • Southern received more than one claim for the same journey.
  • Your claim didn’t reach Southern within 28 days of the journey date.
  • Not enough or no supporting documents were sent with your claim.
  • You requested compensation for an invalid ticket.

Can I appeal a Southern Delay Repay decision?

Yes. You’ll need to contact Southern online or call 03451 27 29 20 (open 07:00–22:00), including your claim’s reference number to appeal. Southern will get back in touch with a further decision after revisiting your claim.

Should I get Delay Repay compensation or a refund?

Southern’s Delay Repay is part of a national scheme to compensate passengers for delayed journeys or cancellations. Therefore, you must have completed your journey and arrived at your destination at least 15 minutes behind schedule.

If you decided not to travel or had to abandon your journey because of service disruption or industrial action, you should claim a refund instead.

Things to look out for when claiming Delay Repay with Southern

  • Find out if there were planned engineering works on the day you travelled. Amended schedules may affect your eligibility to claim.
  • Double-check all the details provided in the form, as errors could result in your claim request being delayed or declined.
  • If your journey involved multiple operators, Southern should be responsible for the initial delay.
  • Confirm that you used a valid ticket for the journey you want compensation for.
  • Make sure any scans or photos of tickets, passes or receipts can be read clearly.
